WINTER/SPRING INTERNSHIP/SEASONAL OPENINGS (March - August)


Marketing & Communications Intern/Seasonal

Focus: Marketing & Communications

Reports To: Director of Sales & Marketing, Communications

Openings: One (1)

Duration: March - August: Part-time, 10 hours a week (based on intern's schedule and must fall between Monday - Friday, 8am to 5pm) March - May. Full-time June - August.  

Compensation: This internship is non-paid. Summer seasonal portion is paid a monthly stipend (June - August).

Responsibilities:

Viral marketing coordination and support, including: website, e-mail newsletter, social networking tools such as Facebook, Twitter and You Tube. 

Media correspondence including building press kits, drafting press releases, credentials. 

Writing content – for publications, viral marketing, scripts, press releases, etc. This includes conducting interview, writing articles/stories and copy for various marketing tools. 

Publicity and promotions

Community relations and support including managing Seafair booths, grassroots outreach, etc. 

Special event/production management

Customer Service – managing surveys, feedback, etc.

Assist with planning and execution of Seafair's 65th anniversary campaign and events (taking place September 2013 and beyond)

Other office and event duties as assigned

Festival Production/Operations Intern
Focus: Production & Operations of Seafair Events
Reports To: Event Producers
Openings: One (1)
Duration: March thru August: January–May/Part-time Position, 10 hours per week, Monday-Friday, based on intern's schedule. Full-time internship June 1st-August 7th
Compensation: This internship is non-paid, but receives a stipend for full time summer hours

Responsibilities:
• Support Seafair Staff/Volunteers in planning and implementing event logistics for all Seafair events.
• Manage communication with event participants for various Seafair events, including event preparation, load-in/load-out, and day-of logistics.
• Coordinate fundraising programs for events, including pre-event promotion, participant and sponsor outreach, soliciting and procuring gifts for prizes, tracking, and on-site distribution.
• Assist with database entry and management.
• Assist with vendor/contractor relations and determining order needs for events
• Coordinate impact mitigation communications for Seafair Events
• Assist in implementation of Green Team (trash, compost, recycling) for Seafair events.
• Plan and implement event operations as directed by Event Producers.
• Other office and event duties as assigned including general administration, and signage and décor inventory.

Qualifications:

• Must be familiar with and able to utilize voice mail, email, computers (preferably MAC), fax machines, copiers, proper use of memos and other office communications. Working knowledge of databases a plus.
• Must have the ability to lift/carry weights of up to 40lbs.
• Ability to work at all 2015 Seafair events and provide on-site operations support for Rock & Roll Marathon (June 11, 12, 13), Festival Kick Off (June 17), Pirates Landing (June 27), Summer 4th (July 3 & 4), Milk Carton Derby (July 11), Triathlon & Triathlon Expo (July 18 & 19), Torchlight Run/Parade (July 24 & 25), and Seafair Weekend (July 28-August 7)


SUMMER SEASONAL & INTERN OPENINGS (May/June - August)


Time Commitment:

Mid-May (or June depending on college schedule) through August 7, 2015 - 40+ Hours Per Week. All interns are required to work all Seafair Signature events (on weekends), including:

June 13 - Rock 'n' Roll Seattle Marathon and ½ Marathon

June 27- Seafair Pirates Landing

July 4 - Seafair Summer Fourth

July 11 - Seafair Milk Carton Derby

July 18/19 - Seafair Triathlon (expo and event)

July 25 - Seafair Torchlight Run & Torchlight Parade

Week of July 27 - August 2: Seafair Fleet Week, Seafair Weekend featuring the Seafair Air Show, Seafair Cup Hydroplane Race & Seafair Wakeboard Experience


Compensation:

Full-time interns will receive:

$225 monthly stipend

Complimentary tickets to the Seafair Torchlight Parade and Seafair Weekend for family and/or friends (four per intern)

Staff outings, post-event dinners, and kick-off and end of the summer parties


Qualifications:

-Excellent communications skills (written and oral)

-Must be a college junior or senior in good standing

-Must be seeking an internship for college credit and/or as a prescribed part of a school curriculum

-Comfortable in a fast-paced environment, ability to multi-task

EVENT PRODUCTION


Festival Operations Intern 

Focus: Event Operations & Logistics for Festival events supporting the following: 

Milk Carton Derby

Triathlon & Expo

Torchlight Night (Fun Run, FanFest & Parade)

Seafair Hydroplane Race & Air Show

Reports To: Operations Director

Positions: Three (3)


Responsibilities:

-Support Seafair Staff/Volunteers in planning and implementing event logistics for all Seafair events.

-Manage communication with event participants regarding event preparation, load-in/load-out and day-of logistics.

-Plan and implement event operations as directed by respective Event Producers

-Volunteer Recruitment and communication

-Assist in database management for equipment orders 

-Assist in managing signage Inventory, and on-site implementation of signage and décor plans at all Seafair events.

-Sell Logboom space for boaters attending Seafair Weekend and manage on-site trouble shooting for Logboom Customers 

-Assist in Radio Communications assignments, distribution and equipment recovery

-Assist in implementation of the Seafair Green Plan (recycling and waste management) for Seafair events.

TICKET SALES/CUSTOMER SERVICE


Box Office Intern

Focus: Ticket Sales & Fulfillment

Reports To: Director of Finance & Human Resources

Positions: One (1)


Responsibilities:

-Manage ticket order fulfillment through online, phone and mail-in order requests

-Serve as liaison to print tickets, audit payments and set up Will Call

-Process payments via online, phone, mail, in person and on site

-Assist at Sporting events: on site & day-of registration and cash receipts reporting

-Track and manage ticket inventory and revenue and prepare weekly reports for Seafair Festival events

-Assist with on site ticket sales at all Seafair Festival events

-Manage & process VIP and Sponsor ticket orders 

-Preparation of weekly sales reports 

-Assist with Beer Garden revenue reporting and cash handling 


Qualifications:

-Competency in Microsoft Excel

-Cash handling experience a plus

Hospitality & Foundation Intern
Focus: Program Management, VIP Receptions & Experiences
Reports To: Seafair President & CEO, Foundation Manager
Positions: One (1)

Responsibilities:
-Assist SPFW Volunteer Committee & Foundation Manager with implementation of program elements
-Assist in backstage support for Scholarship Program for Women (SPFW) events
-Oversee high school Ambassadors at all Festival Events
-Coordinate SPFW and Ambassador participant and volunteer meetings and events
-Update promotional and administrative materials for programs and fundraisers
-Assist in planning and implementing Breakfast & the Blues fundraiser event; including managing and troubleshooting registration, coordinate event logistics, and provide on-site customer service
-Manage communication and fulfillment (invitations & RSVP’s) of all VIP experiences for special guests, military and board members
-Manage board member communication, volunteer experiences, receptions, & event RSVP’s
-Manage royalty communication and implementation of royal knightings

Qualifications:

Volunteer Intern

Focus: Volunteer Program 

Reports To: Chief Operating Officer  

Positions: One (1)


Responsibilities:

-Assist with communication and outreach to recruit new volunteers 

-Manage volunteer recognition program to communicate awards, nominations and finalist selection 

-Maintain internal volunteer database of new contacts

-Coordinate special Seafair experiences for volunteers

-Manage volunteer check-in booth at Seafair events

-Manage communications for community outreach for each event

-Maintain records for volunteer leadership

SPONSORSHIP 


Sales & Sponsorship Intern

Focus: Sales & Sponsorship

Reports To: Director of Sales & Marketing

Positions: One (1)


Responsibilities:

-Support sponsorship director and coordinator with sponsor implementation and/or activation

-Assist with account management at all Seafair events: Signage placement, event set-up, client interaction and VIP experiences

-Assist with corporate hospitality program implementation and operations including ticketing, parking, signage and on-site trouble shooting

-Assist with VIP Experiences 

-Track marketing and operational obligations in Sponsor agreements

-Recap client investments for internal use

-Internet Research on sponsor leads

-Assist with entering data into sponsorship database
